Effective Communication

 

Meeting the target:

Simply stated, this means achieving the objective (purpose) behind the communication which must be met in order to fulfill the need which gave rise to the communication in the first place.

The need for any communication is directly related to the communication objectives centered on the : information; conviction; reinforcement; and action that is required.

Information-centered objectives:

Here the mission is to communicate descriptively, reportorially  or factually, in other words, presenting a factual picture. For instance, if you are making a report to the top management you use examples, describe policies and quote procedures to make your points.

In many of your communications, giving information may be the primary objective, or it may be used as basis for other purposes such as stressing conviction, reinforcement or the need for action.

Conviction-centred objectives:

Where information-centered objectives are descriptive, conviction-centred communication aims to getting rational acceptance for ideas. This means that your receivers are initially neutral or opposed to your ideas. You may present the most important information, but if your ideas do not sound credible to the listeners, your communication will fail.

For instance, when communicating with the staff union you try and get the membes to believe that the terms offered in the contract are better than they had expected. How well you do the job will depend on how effectively you can gain rational acceptance from your target audience.

Reinforcement-centered objectives:

Where conviction is concerned with changing beliefs(from initial neutrality or opposition), reinforcement aims at strengthening or deepening  pre-existing beliefs. In other words, rather  than ‘saving the sinner’, it is directed towards ‘saving the saved’. This one of the most important communication objectives of any organization. Reinforcement objectives are built into some of the most frequent and important presentations of a manager or professional.
